Panama City Weddings looks forward to assisting you in the selection and coordination, of a convenient pre-coordinated wedding package that best suits your particular needs, style and budget for the beach/garden -wedding, or vow renewal of your dreams. We offer guidance and suggestions if you are designing your own personalized and customized package using our convenient Upgrade Menu page. The first step is call us at (850) 867-1821, or to use our Contact Us page, and fill out the wedding planner guide, or contact form provided, to advise us of your desired wedding date, and other information necessary to process your inquiry. We will contact you by phone, or via e-mail promptly – (within 24 hours).
The most important decision is to select your preferred wedding date, and reserve that date as soon as possible to ensure availability with a NON-REFUNDABLE Booking Fee. Booking Fees/deposits and Payments may be made payable to Panama City Weddings via money order or through Pay Pal for major credit or check cards ONLY. Larger packages and custom-designed wedding packages, require larger booking fees and a deposit of 1/2 of the final wedding balance is due 6 months prior to the scheduled wedding. Additional coordinated vendors may also require additional deposits to reserve your date and time as well -(i.e., photographer, videographer, receptions site, caterer, etc.)]. All other details will be coordinated after you have reserved your desired date and time. (Saturday, Sunday and Holiday deposits are payable by credit card ONLY!)
BOOKING FEES/DEPOSITS ARE NON-CONTRACTUAL AND NON-REFUNDABLE NO MATTER WHAT THE REASON AND REGARDLESS OF WHO MAKES PAYMENT! There are NO REFUNDS of booking fees or deposits for cancelled weddings, no matter what the reason. Booking fees and deposits are the good faith monies required to reserve, book, retain, and secure your desired wedding date and time and/or the vendors in a pre-coordinated wedding package, or custom designed package as booked and contracted. Booking fees and deposits are applied towards final balances if wedding proceeds as scheduled, and may be applied towards a new available date if wedding must be postponed due to unforseen circumstances. (subject to approval and availability)
Once you have paid your booking fee, and your pre-coordinated, or custom package is prepared, Panama City Weddings will submit a formal proposal/agreement via fax or e-mail. Upon acceptance of the contract, the bridal couple will return the signed and dated contract to Panama City Weddings via Fax, or by U.S. Mail, keeping a copy for your records.
Payments may be made prior to the wedding, however, FINAL PAYMENT IS DUE IN FULL 3 weeks prior to the scheduled wedding date -or Panama City Weddings reserves the right to cancel scheduled wedding without notice unless satisfactory arrangements for payment have been made. Make all payments payable to Panama City Weddings.
You may upgrade any pre-coordinated. pre-coordinated packages are not assessed a coordination fee on upgraded services or items. Original prices of pre-coordinated packages are NOT lowered if certain items in the package are deleted or declined. The pre-coordinated package prices already reflect a discount, and includes site preparation, delivery, set-up, take-down, and clean-up fees, in addition to coordination and directing fees. Changes or upgrades made to any pre-coordinated, or customized package must be made no later than 3 weeks prior to the scheduled wedding date. (Subject to availability) Once Proposal/Contract is signed and returned, Panama City Weddings begins the coordinating and preparations necessary for your special day to become your unique and ultimate Wedding experience!
ALL SALES ARE FINAL! There are NO REFUNDS for cancellations or postponements, no matter what the reason, due to the extensive planning and preparation involved in coordinating your wedding. Any deposits or payments made toward the wedding are NON-REFUNDABLE! You may postpone your wedding date (subject to availability) due to unforeseen emergencies, etc., however, any monies paid out, or costs incurred by Panama City Weddings because of cancellations, postponements or changes are due and payable from the client. New deposits may be required by some vendors to re-schedule a wedding that has been postponed. Postponed or cancelled weddings may be rescheduled convenient to the schedule of Panama City Weddings and associated vendors.
Certain Holidays and Holiday Weekends are subject to additional fees.
Certain wedding locations may be subject to travel fees, by Panama City Weddings and associated vendors. “Rush” weddings (less than 3 weeks prior to wedding date, will be subject to a “rush” fee, and subject to availability. Ceremonies are to start promptly at the scheduled time due to photography, vendors schedules, prior commitments, etc.! A grace period of 15 minutes is allowed. If ceremony is delayed more than 15 minutes, Panama City Weddings and coordinated vendors reserve the right to assess over-limit fees of $50.00 for every 15 minutes of delay. Wedding may be cancelled and rescheduled convenient to Panama City Weddings schedule, and clients are responsible for all expenses /coordinating fees incurred due to overlimit fees or rescheduling.
Any pre-coordinated or custom wedding package may be upgraded to include additional guests, subject to the approval of Panama City Weddings, and will be subject to appropriate coordination fees, additional staff, and/or items and services as required to accommodate, direct, and coordinate the upgrade of additional guests beyond the package allowance.
Addition of guests beyond what the contracted pre-coordinated or custom package allows, and without the approval of Panama City Weddings, beyond the contractual agreement, may void the contract and result in cancellation of the scheduled wedding, and/or result in additional fees per the Terms and Policies of Panama City Weddings.
To keep our wedding packages affordable, Pre-coordinated wedding packages do not include rehearsals or pre or post ceremony consulting with package vendors (photographers/videographers/officiants) or upgraded vendors. Package vendors provide “DAY OF” ceremony and/or reception service (if applicable) only and item/s as provided in package as applicable to the package (example: photo CD; Photo DVD/and/or album; keepsake copy of marriage vows /videography DVDs)
PROFESSIONAL PHOTOGRAPHY/VIDEOGRAPHY DELIVERY: Photography: Allow 4-6 weeks – DVD only; 8-10 weeks for delivery of photo DVD W/ALBUM; Edited Videography DVD’s – 8-12 weeks.
Panama City Weddings enjoys a sterling reputation, and will not allow any off-site items or vendors to be brought to the wedding site that might reflect negatively on our wedding service or your wedding day.
Some off-site items are allowable, yet subject to approval. Contact for details.
Please be aware that all out-door locations, other than private beaches, are open to the public.
All pre-coordinated packages INCLUDE site-prep, set-up, take-down, clean-up, and direction of the wedding!
Upon booking, Panama City Weddings provides referrals for accommodations, reception venues, catering, restaurants, salons, water sports, golf, activites, events, and other referrals as needed for the most stress free and memorable destination wedding possible.

** Panama City Weddings is not responsible for inclement weather, natural disasters, man made disasters or site restrictions. Panama City Weddings reserves the right to change time and/or location in order to provide our client with their beachside wedding and beach wedding photography. Be aware that when planning any outdoor event that inclement weather is always a possibility. The bridal couple/client is responsible for providing an indoor back up plan that will accommodate their wedding in the event of inclement weather and Panama City Weddings provides back-up referrals as a courtesy.

Bridal couples/clients (including other responsible parties or agents) who book with, and sign a contract with Panama City Weddings are acknowledging that they have reviewed, understand and agree with the terms and policies of Panama City Weddings,regardless of who assumes payment for booking fees, deposits and final wedding balances. Wedding contracts are subject to the Terms and Policies of Panama City Weddings.
